GENERAL SUMMARY:
The Marketing Assistant is responsible for assisting the front office of the Marketing Department and assisting with the logistics of resident moves. They welcome visitors and clients, answer a multi-line phone, and support the Marketing team with a wide variety of clerical and administrative duties. Duties are for a specified period as determined upon hire.
PRINCIPLE DUTIES:
- Assists with home tours and walk-throughs to prepare future residents for their move.
- Conduct call-outs to prospective clients with overdue activities to clean up lead database.
- Completes pre move-in and post move-in checklists to ensure homes are ready for move in.
- Orients new residents to the community and ensures a smooth transition to the operations team.
- Organizes detailed records of current and future depositors, assists in processing sales paperwork, updates the database, and creates files.
- Ensures inventory for brochures, collateral, and other essential supplies are available and up-to-date.
- Maintains and orders office supplies, as directed.
ADDITIONAL DUTIES:
- Answers a multi-line telephone and voice-mail system. Greets customers upon arrival, communicates with internal departments and residents, assisting as needed.
- Supports the Marketing Director and Marketing team with general clerical duties including copying, scanning, faxing, collating, organizing, creating brochures, mailing newsletters, etc.
- Prepares and processes incoming and outgoing mail.
- Maintains Excel spreadsheets and other reports as necessary.
- Assists with planning and coordinating of on and off-site marketing presentations and events to include venue selection, menu planning, invitations, RSVPs, valet and other vendor logistics.
- Assists with completion of Move-in Paperwork as needed.
- Performs additional work duties and responsibilities as assigned.
QUALIFICATIONS:
- Minimum three years administrative support experience, at least one of which was in a sales environment.
- Excellent customer service skills.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills. Strong attention to detail.
- Ability to handle multiple priorities while working in an area of constant distractions.
- Good judgment and problem solving skills.
- Strong computer skills, including Microsoft Office Suite (Word, Outlook, and Excel). Ability to learn new computer applications.
- Associate or other college degree a plus
CRITICAL FUNCTION:
- This position is essential to the safety of our residents and staff; and to the operation and function of the community. Employee may be recalled to report to work for an emergency, unusual occurrence, resident care need, visit from regulatory/governing agencies or any other event deemed necessary by the Executive Director, Administrator, and designee.
